BRFC EXECUTIVE MEETING MINUTES          Tuesday, March 27th 2007

Correspondence

Darlene reviewed correspondence received:  The list includes information from new players, upcoming tournaments, events, clinics, meeting reports and schedules. Correspondence has been sent to appropriate parties and the webmaster.

Director’s Reports

1. President’s Report

The Executive is confident that once the season begins and dues are received, we will be able to meet the Club's financial commitments.

Hedley presented a list of upcoming events where volunteers will be needed. 

Executive agreed that the BFRC clubhouse will be open Thursday’s 7-10 pm and Saturdays from 4-7pm, beginning April 12^th.

The Club does not have a Junior teams Director yet, despite hard work from Hedley.

2. Treasurer’s Report

The Treasurer estimates that BRFC needs an income of approximately $3, 000 /month from Nov-March to run effectively and meet expenses.

3.Membership/Registration Report

Jamey has posted flyers and posters re Registration Day and Junior Programs at the Club. Please contact him if you would like a poster. Registration Day:  April 14^th will be from 12-7pm. From 4 - 7pm will be aimed at Senior members to stay and socialize. Jamey will be doing the Men and Junior registration while Lee McDonald and Amanda Corsetti will help and register the women and junior girls. Kitchen will not be open.

Gavin will run our G mail account and take responsibility for the email system.  Currently we are having problems sending mass emails, and we have complaints about some members not receiving emails. 

4. Vice-President’s Report

 Men’s Night: Saturday March 31^st at 7:30pm. Poker will start at 8:00 pm. Costs are $25 to play for cash prizes, otherwise free entry. Approximately 17 people already confirmed.  Hoping to have 40 people. The Men’s Sub-committee meeting was very successful.

5, Women’s Director Reports

Darlene reports that Women's teams will commence training April 16^th on Mondays and Thursdays. There have been a good number of interested new players representing both Sr. and Jr. The role of Junior Women's coach has been filled by Trish Rea and Mike Curran.  Their coaching profile will be posted on the website.

6. Clubhouse Report

Lucia circulated rates for rentals. Many thanks to Chris Allen for offering washer/drier, but due to technical issues, unable to install.  Suggestion of raffle. Lucia, Malcolm and Darlene to discuss who receives keys and access to interior/exterior. Lucia will look at Fire Safety Plan. Copies will be given to Graham for insurance purposes and to Dave Angove as he is an electrician, for review. Ultimate Frisbee have renewed their contract.  Downey’s Estate Winery is giving a sponsorship donation to the clubhouse and will be the featured wine at the B.R.F.C.  New bar hours will be posted on website.

7. Fixtures Report

Chuck has notified Hedley that there are as yet, no changes to the main schedule. SMART Rugby is required for all Rugby Canada coaches and referees this year.

Upcoming Events

1.  ORU Girls Showcase Tournament                  

Possible day subcommittee includes Paul Tesar, Dave Angove, Peter Murphy, Ken Jones and Sheila Lee; Darlene to send email requesting help. Hedley, Liz and Margaret to look after food and drinks. The Executive have decided to request a damage deposit and signed agreement, even though the use of the fields and facilities are being donated. This tournament will be dependent on field conditions. Hedley will send email re referees and Malcolm will follow up. Malcolm to contact Todd Russell. Malcolm to look after any other details for this day.

Other  Spring Tournaments

1 ROPSAA:  May 25^th; weather dependent.  Concern because the following day is the Ching Alumni/Ralph Lee memorial day at the club.  Lucia and Jamey to follow up and confirm the date and if event happening.

2 Ching Tournament:  awaiting response from Mike Gauley

3 Pocock Tournamemt: awaiting final cheque from Mike.
