BRFC EXECUTIVE MEETING MINUTES 20th February 2008

   BRFC Banquet Update

3.1 There are fewer than  40 people who have confirmed.The banquet will be cancelled because of low numbers.

All of the awards will be presented at the Hall of Fame event. Ideas for upcoming banquets include BBQ, pairing the banquet with a Rugby match.  The 2008 BRFC  banquet to be discussed at future meeting.

       Fixtures, pre-season, schedule

4.1   Ruth does not have the schedule at the moment. March 2^nd meetings at the ORU office will deal with scheduling.  To ensure we are up to date on all events from these meetings, Kent is contacting different people to sit in on all meetings.  Malcolm will be the minis coach. For pre-season games, we have been contacted by touring sides (Kenfig Hill May 31^st confirmed), Glynneath RFC coming to Brampton on May 26 2008

5        Membership

Final date for Registration Day is April 5^th. Darlene will email Jess, Hedley, Keith and recruits about the day.

6         Treasurer’s Report

TJ met with Graham on weekend.  Kent, Malcolm and TJ to go to bank, and we will return to having signing officers for all cheques. All expenditures will be made public to the executive.  If a cheque comes through executive without having been previously approved by the executive, it will not be paid. Cheques can be given to Kent, Malcolm and TJ.  TJ to look into audit

7         DAM JAM 2008       May 31^st 2008

7.     Forms for permits, contacts, etc. are already in place from last year. Matt to put together a budget, supplier list, etc. for next meeting. Ruth to design tickets to distribute on Registration Day

8      Trillium Grant

8.1 Kirk to look after the Trillium Grant application. Goal date is to submit application at the end of season. The Executive to put together a list for what the club needs for next meeting

9       Game, gear, players, coaches

9.1  Coaches to contact Kent and Malcolm re status of gear. Coaches meetings during season

10   MISSION STATEMENT

10.1   Competition for club slogan. Winner receives 2 tickets to Dam Jam.  Darlene to send out information to membership.

11  New Business

 Steam Whistle has sponsored League again this year. BRFC will get another set of jerseys or money. Kent will forward apparel samples to the executive.

       ORU Coaching Clinic

11   Matt has been working with City in regards to Lease Renewal. Matt has a meeting with City re our lease. He informed executive that the lease will be renewed for another 5 years. The City of Brampton wants to take the old lease and put it into the new format, meaning that it might change the meaning of some prior arrangements. Following February 26^th meeting, Matt will forward new lease to appropriate people and then to executive.

        Price to relocate CO2 (moving it to main bar) ~ $250.  Will save money in the long run.  Kent to send quote to TJ.

       BRFC is acquiring fabric to redo the seats, cover the windows, etc. to update the clubhouse.  Thank you in advance to Heather Deslippe.
